Free For All Friday No. 470

I was scratching around for a theme for this weeks post and the solution suddenly came in to my head... so quick before I forget it, I have to get to my computer and get it entered... otherwise I will forget it!

So inspired by a You Tuber - Casey Neistat, who by the way has no connection what so ever to planning or organisers!

'What is your biggest challenge each day or each week that your organiser helps you with? '

However, it is Friday so of course you are welcome to discuss anything organiser related.

Customising Philofaxy Diary Inserts

It was lovely when a few people at PlannerCon Europe showed me their organisers and how they are using the Philofaxy inserts. Or if they saw mine and asked 'Which Etsy store sells that insert you are using?' and I pointed out they are Philofaxy ones!

So here are some simple hints and tips on using our inserts and making them your own.
  1. Go to the Diary Insert page and find the insert you like the most.
  2. Either download the Word or PDF one for the year you want if you want to use it as it is. And then print it. Or
  3. Download the source files the Word and Excel files you will need both.
  4. Open the Excel file and set the Cell A2 to the correct start date for the particular insert you are modifying. The spreadsheet should fully update from just changing that one cell. Save the file and exit Excel
  5. Open the Word file and make what ever changes you wish to make such as font, line colour etc. Save the file.
  6. Perform the mail merge to a new file.
  7. In the new file you might need to insert a page break at the start of the first page to force a blank page at the beginning so that your insert is printed on the correct pages. Remember even numbered pages (2,4,6 etc) are all left hand pages, and odd numbered pages (1,3,5 etc) are all right hand pages once printed and inserted in to your organiser. So the page break is required for inserts such as week per view (week on 2 pages), month per view (month on 2 pages) etc.
  8. To make sure your pages all have the correct margins you need to find all of the section breaks (^b ) in the new document and replace them with nothing, just leave the replace field empty.
  9. Save your new file with a year filename assuming you are happy with the result, otherwise don't save it, go back to step 5 and re-edit your Word file and repeat the process from there until you are happy with the result.
  10. Print out your inserts and punch them.
Simple really!

On the Diary Insert page you will find some tutorial videos covering different versions of Word/Office that will take you through the ten steps above.

Some printing tips.
  1. Read this post for tips on printing A5 and Personal inserts.
  2. Read this post for tips on printing A6 inserts
  3. Always print your files in normal order not reverse order, some printers call the print order collation, observing what pages are being printed first you will know which order it is being printed in.
  4. Remember if you aren't using booklet print when printing A5 inserts that you have to scale the file to 71% to print direct on to A5 size paper.
  5. If you are printing on to A6 size paper you need to scale by 50%.
Please remember you can not use our designs for commercial gain, even if you have changed them with different fonts etc. Thank you.

Retailer Under The Spotlight - Gribulle

It was a pleasure to meet all the retailers at PlannerCon Europe back in October, but even more so to connect with the smaller retailers as well.

I enjoyed chatting with Maud who owns the ETSY shop Gribulle

Maud is based near Paris, ship wolrdwide.

She make inserts on 100gsm FSC Clairefontaine Paper and also on 120gsm shimmer Clairefontaine paper.

Maud has A5 and Personal sizes for now, punched (or not by request), but she is thinking of expanding to little notebooks. Probably Filofax equivalent of B6, Pocket and Mini.

They all come undated and there are several layouts :
  • Notes,
  • Day on 1 page,
  • Week on 4, 2, or 1 page,
  • Month on 1 or 2 pages,
  • There is also an extended version of the week on 2 pages and the month on 2 pages for the A5 format.
They all come in English and French, and toner printed or foiled (gold, silver, rose gold, gold holo, silver holo incoming, gold glitter and silver glitter for now, but Maud intends to expand to other colours like pink, blue, green, purple, red, etc).

Here are some examples of the inserts available:

Filofax closing its registration scheme

I'm sure you have all seen this registration page in the front of a Filofax Diary insert.

Last week the Filofax website got an update, a fairly substantial update it seems.

One thing I noticed in the 'My account' section of the site was that the 'My Organisers' tab had disappeared. Thinking that this might just be a glitch with the site update I made some enquiries.

I got the following email back from them this week.
Thank you for your email and enquiry to register your Filofax Organiser.
After carefully reviewing the Organiser registration, and the response that we receive, Filofax (including filofax.com and filofaxusa.com) have taken the decision to no longer offer this service. Organiser registration will now not be part of the ‘My Account' section of our websites.
We have also had to take into consideration renewing all our personal data policies ahead of the General Data Protection Regulation changes which come into effect in May 2018.
So guard your organisers, there will no longer be a way for them to be returned to you via Filofax in exchange for a voucher.

Free for All Friday No. 469 by Nan

If you're reading this, you're probably the kind of person who likes receiving a new organizer as a gift. Maybe a fancy leather one that you wouldn't buy for yourself.

But have you ever given one as a gift, perhaps in the hopes that the recipient would enjoy it, maybe become a bit more organized as a result?

How did that work out? I've noticed that there are some people who use organizers and those who don't. I've never been able to convert one of the latter type by giving them a Filofax, no matter how beautiful.

Of course, since it's Friday, feel free to share any other ring-bound organizer experiences!

Choosing or Designing the Perfect Planner - Audio Only Edition

This was the topic for my talk/presentation at PlannerCon Europe 2017 which was held in Brussels on 28/29 October 2017.

My talk wasn't filmed in full as far as I know, so I decided to record a voice over to my slides so that more people could enjoy the full talk.

Whilst this isn't an exact recording of my talk, the beginning is more or less the same and the essential parts of my talk are very similar to the one I presented at PlannerCon Europe.

This is the audio only edition, you can listen via iTunes, download it direct or via MixCloud.

The PDF of the presentation is also available to download from Philofaxy.

I hope you enjoy it.

Industry News - Gillio release un-dyed leather organisers

At PlannerCon Europe 2017 Gillio Firenze announced the release of products in un-dyed leather.

On Monday 6 November, they released a range of products in un-dyed leather including:
  • Pocket Mia Cara (ref. 223/08)
  • Medium Mia Cara (ref. 224/08)
  • A5 Mia Cara (ref. 238/08)
  • Medium Compagna (ref. 224/02)
Also released in un-dyed leather:
  • A6 Appunto (ref. 280/02)
  • A5 Appunto (ref. 281/02)
The Appunto is their Hobonichi cover.

I expect that they will be releasing other products in un-dyed leather in the future.

Back in December 2016 I was sent a Gillio Giramondo in un-dyed leather to test out. Other prototypes had been sent to other admins on the Gillio Facebook group to test over a period of months.

The other people did fairly normal usage tests by using the products every day. I wanted to look to see what would happen if a customer applied any leather care products to the un-dyed leather, what would happen to it, what would it look like etc etc. Gillio were naturally interested in what customers might experience and so they would be prepared for any bad experiences.

Un-dyed leather is literally untreated, it is the natural hide so it is very susceptible to absorbing the oils from your hands, to sunlight, as well as being contaminated by anything it is left close to or it absorbs from our natural environment.

So here is a series of photos of the Giramondo that I took and what had happened to it at each stage of the tests.

So these first photos were taken on the 23 December the day I received it.

Just a close up under slightly different lighting.

Once Christmas and the New Year was out of the way I decided to give it some leather care treatment using this product. I've used this on other leather organisers before now to enhance their appearance.

On 4 January 2017 straight after spraying the Giramondo looked like this:

As you can see this has changed its appearance quite drastically, and you can be forgiven for thinking 'what has he done!'

The Giramondo was then left over night to air and stabilise again. About 12 hours later this is what it looked like:

As you can see it is a bit more uniform now in colour and not quite so dramatic in what it looks like.

Later that day (5 January 2017) I decided to have try a little experiment whilst also exposing the cover to the sun. I printed out the Gillio logo on some paper and then carefully cut around the outline of it. Popped it under the elastic and put the item in the sun at my home here in France.

And a few hours later, yes that worked! You can clearly see the logo on the front cover!!

Two days later and after some more sun, the logo is less obvious, but you can still see a line where the elastic closure has been:

Fast forward a few weeks to 6 February 2017 and on any sunny day the Giramondo was out there claiming the best spot in the sunny side window! I had been mainly exposing the outside to the sun and as you can see the elastic tan line is more distinctive and the colour has become more golden.

I found a way to expose the interior in a similar way to the exterior so for a few more weeks as we went in to Spring sunshine the interior was also given some sunshine treatment.

By 19 April 2017 it had taken on this colour:

Behind the secretarial flap once opened shows the contrast, no leather care was applied behind there, or in to the inside of the left hand slip pocket.

I quite like the finished result, the variation in colour and how the texture is magnified adds real character to the item.

The leather during this comparatively short test has remained supple and I think will improve with age and usage.

To learn more about how un-dyed leather changes with age, I strongly recommend reading Janet Carr's (This Bug's Life) posts on her Van der Spek Un-dyed organiser which she received to test back in November 2014, there are many posts in the series.

Thank you to Gillio Firenze for supplying this sample for me to test out!

A Date For Your Diary - 12 November 2017

We are going to run another conference round-table voice/video chat using Skype.

When? - Sunday 12 November at the following times:
  • London 10:00 am,
  • Paris 11:00 am,
  • Brisbane 8:00 pm time.
Additionally we will be on line later in the day at the following times:
  • Los Angeles 8:00 am,
  • Denver 9:00 am
  • Dallas 10:00 am,
  • New York 11:00am,
  • London 4:00 pm
  • Paris 5:00 pm etc.
The timing of these two sessions have been chosen to hopefully allow as many people to join in compared to previous round-tables.

Do not worry if you aren't available at the start of one of our sessions each one lasts 2-3 hours so pop up when you are available and say hello.

Where? - an on-line chat using Skype. with voice and video (if you wish)

What do I need? - just a micro-phone and some head phones(in ear phones work fine) and a free Skype account. Using headphones or earphone reduces 'echo' on the call. Video is optional, but a few of us will be on video as well.

Who - All of you... connect up with Philofaxy and we will attempt to get as many of us linked in to the audio conference as possible. Come and listen if you don't want to chat.  What do we talk about? Filofax stuff... but anything else as well. It's like long lost friends meeting up for coffee and a catch up.. but don't worry if you have never joined in before... you are an old friend too!

If you have any questions you want to ask then please let us know in the group or before we start.

How -
  1. Connect to Philofaxy by firstly searching for Philofaxy in Skype, I will then add you as a contact.
  2. Then  'Send Contact Request',  I will then add you in to the chat room.
  3. Then if you request it, I can add you to the audio conference as well. But if you just want to chat via keyboard that's fine. That way it's slightly less hectic for me!
Come and join in the fun, even if you only pop in to say hello... but don't be afraid to join in the discussion.

As with previous round-tables there will also be a parallel text chat room going at the same time as the voice conference, so you can listen to the voice chat and type if you wish, just mute your microphone in Skype

If you need any assistance setting up Skype, please pop a comment in this post and I will try and help you get one line. Skype is free for computer to computer calls....

Here is my post on how to improve your Skype audio with headphones or a headset.

Hope to be chatting with you on Sunday 12 November 2017.
